1. Purpose and Scope

Nippon Health is committed to protecting the personal data of our customers who use our platform to book preventive health check-ups (such as the Ningen Dock) and second-opinion services with our partner hospital, NTT Medical Center Tokyo. This Policy sets out how we collect, process, store and protect your personal data in accordance with Vietnamese law, including Decree No. 13/2023/NĐ-CP on the Protection of Personal Data of the Socialist Republic of Vietnam.

Delta West Company Limited is the Data Controller for personal data processed via the Nippon Health website.

3. Types of Personal Data Collected

We may collect and process the following categories of personal data: identification data (name, date of birth, gender, nationality, passport number), contact information (email address, telephone, postal address), health information you provide (medical history, test results, symptoms, or documents for check-up eligibility), payment information collected via our payment provider, and technical/usage data (IP address, browser type, website usage data).

4. Purposes of Processing

Your personal data is processed only for lawful and necessary purposes, specifically to facilitate: arranging and managing your medical check-up or second-opinion service with NTT Medical Center Tokyo; assessing your eligibility for the requested package; coordinating with the hospital and our interpreters or logistic partners (if applicable); processing payments and issuing invoices; sending booking updates and responding to your inquiries; and collecting feedback and service-improvement input.

5. Data Sharing, Transfer and Cross-Border Processing

In order to deliver the services you request, we may share your personal data with our partner hospital, NTT Medical Center Tokyo (operated by NTT East, Japan), and with authorised interpreter or logistics providers when you consent. We also use third-party service providers such as Squarespace and Stripe for website functionality and payment processing. All data transfers to Japan or other jurisdictions are made only with your explicit consent and are subject to appropriate safeguards. The hospital’s own privacy policy, available at their website (for example, refer to NTT Medical Center Tokyo’s website), emphasises the importance of appropriate handling of personal information.

6. Retention and Anonymisation

We retain your personal data for up to 05 years after the completion of your check-up, in order to comply with administrative and regulatory requirements. Your health-related documents are anonymised after 01 year unless you request ongoing service coordination. When no longer required, personal data is securely deleted or rendered anonymous so that it cannot be associated with you.

7. Consent, Access and Withdrawal

By submitting your information via our website (e.g., through a booking or request form) and indicating your agreement to this Policy, you are giving your consent to the processing of your personal data as described herein. You have the right to withdraw your consent at any time by emailing contact@nippon-health.com. Withdrawal may affect our ability to carry out your booking or coordinate with the hospital. You also have the right to request access to, correction of, deletion of, or limitation on the processing of your personal data in line with Vietnamese law.

8. Data Security

We apply both technical and organisational measures to secure your personal data against unauthorised access, loss or disclosure. Access to personal data is restricted to authorised personnel, and third-party service providers are required to protect your information under confidentiality obligations. Online transactions are encrypted and systems are regularly reviewed to ensure integrity.

9. Cookies and Website Analytics

Our website may use cookies, web beacons or similar technologies to analyse site traffic, improve user experience, and provide functional site features. These tools do not collect personal data unless you provide it voluntarily and can usually be disabled in your browser settings.

10. Policy Updates

We may revise this Policy from time to time to reflect legal, operational or technological changes. Each update will be posted on our website with a revised “Effective date”. Your continued use of our services after such changes constitutes acceptance of the updated Policy.
